This Privacy Policy describes how Sisterhood Works, powered by WelkomNL ("Sisterhood Works", "we", "our", or "us"), collects, uses, stores, and protects your personal data when you use the Sisterhood Works mobile application and related services (collectively, the "App" or "Services").

We are committed to protecting your privacy and handling your personal data responsibly, in compliance with the General Data Protection Regulation (GDPR) and other applicable Dutch and European Union data protection laws.

1. Who We Are

Sisterhood Works is a safe, inclusive, multilingual community platform for women from all walks of life worldwide, designed to foster empowerment, mutual support, connection, and community growth.

2. Information We Collect

We collect the following categories of personal data:

2.1 Account and Registration Data

• Full name
• Email address
• Password (stored in encrypted form — we never store plain-text passwords)
• Language preference
• Sign-in method (email/password, Apple Sign In, or Google Sign In)

2.2 Profile Data (all optional)

• Display name
• Profile photo
• Short personal bio
• Phone number — you may add a phone number at any time from your profile settings. It is never required to create an account or to use the App, and is used only to help our support team verify your identity if you contact us about your account.
• Years living in the Netherlands — used only to help our Buddy System and community team offer age- and stage-appropriate support and training recommendations.
• Home country — used only to help match you with buddies, sisters, and training content relevant to your background, and to support our multilingual community-building efforts.
• Current situation (e.g. "Alone in the Netherlands", "With a partner", "With a partner and child") — used only to help our community and buddy teams understand what kind of support may be useful to you.

None of the fields in this section are required. You can skip them during profile setup, leave them blank, or clear them at any time from Edit Profile. We do not use them for advertising, and we do not share them with any third party except the trusted service providers listed in Section 6.

2.3 Usage and Content Data

• Group memberships and invite codes used
• Chat messages sent in group chats and direct conversations
• Training program registrations and attendance status
• Journey Checklist progress and step completions
• SisterShare marketplace listings (photos, descriptions, categories)
• Buddy relationships and requests
• Notification preferences and read status

2.4 Technical and Device Data

• Push notification tokens (Expo push token for iOS and Android)
• App version and platform (iOS / Android)
• Last active timestamp
• Basic error and crash logs

2.5 Social Login Data

If you sign in using Apple Sign In or Google Sign In, we receive only the information provided by those services (typically your name and email address). We do not receive your Apple or Google password.

3. How We Use Your Information

We use your personal data for the following purposes:

• Account management: to create, maintain, and secure your account.
• Service delivery: to enable group chats, direct messaging, buddy connections, training programs, checklists, and SisterShare listings.
• Real-time communication: to power live messaging features using secure WebSocket connections.
• Multilingual experience: to automatically translate messages and training documents into your selected language using AI translation services.
• Notifications: to send push notifications and in-app notifications for new messages, training updates, Instagram posts, and system announcements, based on your notification preferences.
• Security and safety: to detect abuse, prevent unauthorized access, and protect our community.
• Service improvement: to diagnose issues, analyse usage patterns, and improve the quality of the App.
• Legal compliance: to fulfil our legal obligations.

4. Legal Bases for Processing (GDPR)

We process your personal data on the following legal bases:

• Contract performance (Art. 6(1)(b) GDPR): processing necessary to provide the Services you have signed up for.
• Consent (Art. 6(1)(a) GDPR): where you have given explicit consent, such as for push notifications or optional profile data.
• Legitimate interests (Art. 6(1)(f) GDPR): for security, fraud prevention, and service improvement, where our interests are not overridden by your rights.
• Legal obligation (Art. 6(1)(c) GDPR): where processing is required by applicable law.

5. AI Translation Notice

Sisterhood Works uses AI-powered translation (via third-party language model APIs) to translate group messages and training program documents into your selected language. By using the chat and training features, you consent to your messages and content being processed by these services solely for translation purposes. We do not use your content to train AI models. Chat messages are processed transiently and are not stored by the AI provider beyond the translation request.

6. Data Sharing and Disclosure

We do not sell your personal data, and we do not use it for third-party advertising or cross-app/cross-website tracking. We do not share your data with data brokers or advertising networks. We may share your data with the following categories of trusted service providers, strictly as necessary to operate the Services:

• Cloud infrastructure: hosting and database providers for secure data storage.
• Push notification services: Expo (which uses Apple Push Notification Service and Firebase Cloud Messaging) to deliver push notifications to your device.
• AI translation providers: to translate messages and documents (processed transiently, not stored or used for training).
• File storage: secure cloud object storage for profile photos, training documents, and SisterShare images.
• Error monitoring: crash logging tools to help us diagnose technical issues.

All third-party processors are bound by appropriate data processing agreements (DPAs) and handle your data only on our instructions.

We may also disclose data if required by law, court order, or to protect the rights and safety of our users or the public.

7. International Data Transfers

Some of our service providers may process data outside the European Economic Area (EEA). Where such transfers occur, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) approved by the European Commission, to protect your personal data to the same standard as within the EEA.

8. Data Retention

We retain your personal data only for as long as necessary to provide the Services and fulfil the purposes outlined in this policy, unless a longer retention period is required by law. When your account is deleted, your personal data is removed or anonymised, subject to any legal retention obligations. Chat messages may be retained for a limited period after account deletion to ensure service continuity for other participants.

9. Your Rights Under GDPR

As a data subject under GDPR, you have the following rights:

• Right of access: to obtain a copy of your personal data.
• Right to rectification: to correct inaccurate or incomplete data.
• Right to erasure ("right to be forgotten"): to request deletion of your data under certain circumstances. You can also delete your account directly from within the App settings.
• Right to restriction: to request that we restrict processing of your data in certain situations.
• Right to data portability: to receive your data in a structured, machine-readable format.
• Right to object: to object to processing based on legitimate interests.
• Right to withdraw consent: where processing is based on consent, you may withdraw it at any time without affecting lawfulness of prior processing.

You also have the right to lodge a complaint with the Dutch supervisory authority, the Autoriteit Persoonsgegevens (AP), at www.autoriteitpersoonsgegevens.nl.

9a. How to Delete Your Account

You can permanently delete your account at any time, directly inside the App, without needing to contact us:

1. Open the App and go to the Profile tab.
2. Tap Delete Account.
3. Confirm the deletion when prompted.

When you delete your account: your profile is deactivated and hidden from other users immediately, your push notification token is cleared, all of your active login sessions are revoked, and your personal data is handled as described in Section 8 (Data Retention). If you are unable to access the App, you may also request deletion by emailing us at info@mamadigital.it from your registered email address.

10. Security

We implement appropriate technical and organisational security measures to protect your personal data against unauthorised access, loss, destruction, or alteration. These include encrypted data storage and transmission (HTTPS/TLS), secure authentication, and access controls. No internet-based service can guarantee complete security; however, we continuously review and improve our security practices.

11. Children's Privacy

The Sisterhood Works App is intended for users aged 16 and above (or the minimum age required under applicable law in your jurisdiction). We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data without appropriate consent, please contact us at info@mamadigital.it and we will promptly delete such data.

12. Third-Party Links

The App may contain links to third-party services, such as Instagram posts. We are not responsible for the privacy practices of those third parties. We encourage you to read their privacy policies before sharing any personal data with them.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. Material changes will be notified within the App and reflected by an updated "Last updated" date at the top of this page. Your continued use of the App after such changes constitutes your acceptance of the updated policy.
